Global Settings: Users

The Users page under Settings is where organization admins review everyone synced from your applicant tracking system (ATS) into candidate.fyi, control who is allowed to sign in, and assign roles.

In the left sidebar, open Settings, then choose Users. Only users with the Admin role can see Settings and open this page. If you do not see Settings in your sidebar, ask an admin on your team to make changes for you.

What you will see on the Users page

The page title is Users. Your team members appear in a table with these columns:

  • Name — the person’s first and last name, with their email address shown underneath

  • Role — their candidate.fyi permission level (see below)

  • Registered — a green check mark means the person has signed in and created a candidate.fyi account; a gray X means they have not registered yet

  • Approved to Login — a green check mark means the person is allowed to sign in; a gray X means they are not currently approved

People on this list are pulled in from your ATS integration. There is no button on this page to manually add a new person — if someone is missing, they usually need to exist in your ATS first, or your integration may need to sync.

Active and All tabs

At the top of the page you can switch between two tabs:

  • Active — shows users who are approved to log in. By default, the Registered filter is turned on so you see people who have both been approved and completed sign-in.

  • All — shows every synced user in your organization, whether or not they are approved or registered. The Registered filter starts off here, so you initially see everyone regardless of registration status.

Each tab shows a count in parentheses, for example Active (42).

Search and filters

Use the search box (placeholder: Search users...) to find someone by name or email.

Two quick filters are available on each tab:

  • All Roles dropdown — narrow the list to a specific role, such as Admin, Editor, or Viewer

  • Registered toggle — when on, shows only registered users; when off, shows only users who have not registered

Editing a user

To change someone’s access, find them in the table and click the three-dot menu (⋮) at the end of their row, then choose Edit.

You cannot edit your own row — the menu is hidden on your account so another admin must update your settings.

The edit window is titled Update [First name] [Last name] and includes:

  • Role — choose from the dropdown (see role options below)

  • Approved to Login — turn this on to let the person sign in to candidate.fyi; turn it off to block sign-in

Click Save to apply changes, or Cancel to close without saving. After saving, a confirmation message appears. If you changed someone’s role, they may need to sign out and sign back in before their new permissions take effect.

Role options

When editing a user, you can assign one of these roles:

  • Admin — full organization access, including Settings pages such as Users, General, Branding, Scheduling, Integrations, and more

  • Editor — can create and change scheduling content, templates, and related workflow items across the organization

  • Viewer — read-only access to most areas; cannot make edits

  • Hiring Team Editor — editor-level access scoped to jobs on the person’s hiring team

  • Hiring Team Viewer — view-only access scoped to jobs on the person’s hiring team

  • Non-Approved Member — limited access; typically used before someone is fully approved for candidate.fyi

If you are unsure which role to assign, check with your internal admin or candidate.fyi support.

Registered vs. Approved to Login

These two statuses work together:

  • Approved to Login is set by an admin on this page. A person must be approved before they can sign in.

  • Registered means the person has completed sign-in at least once and linked their candidate.fyi account.

Someone can be approved but not yet registered (they have permission but have not signed in). Someone who is not approved to login will not be able to access candidate.fyi even if they try to connect their account.
