Global Settings: Schedulable Stages

Schedulable Stages control which interview stages from your ATS can be used for scheduling in candidate.fyi. When a stage is schedulable, it can appear in job interview setup, interview plans, and scheduling workflows. Stages that are not schedulable are ignored for scheduling.
Where stage names come from
Stage names are pulled automatically from your connected ATS. When candidate.fyi syncs interview stages on your jobs, each distinct stage name is added to your organization's stage list.
New stage names appear in the Schedulable list by default. You do not need to create stage names manually in candidate.fyi.
If a stage is removed or renamed in your ATS, it is unclear whether the old name is automatically removed from this list. You may still see outdated names in Other Stages until someone reviews them.
Who can manage Schedulable Stages
Only admins can open Settings > Scheduling. The Schedulable Stages tab is available when Group Scheduling is enabled for your organization.
View and update your stage list
Go to Settings > Scheduling.
Open the Schedulable Stages tab.
Use the search bar to find a stage by name. Search starts after you type at least three characters.
You will see two lists:
Schedulable — Stages currently enabled for scheduling.
Other Stages — Stages synced from the ATS but not used in scheduling.
To move a stage between lists, hover over the stage row and click:
Remove — Moves a stage from Schedulable to Other Stages. The stage will no longer be available for new scheduling setup.
Add — Moves a stage from Other Stages back to Schedulable.
When your change saves, you will see a confirmation message: Schedulable stages updated successfully.
How to clean up your stage list
Over time, stage lists can grow as jobs and pipelines change in your ATS. Use these steps to keep the list manageable:
Review the Schedulable list and remove stages your team no longer schedules in candidate.fyi (for example, one-off project stages, deprecated pipeline steps, or test stages).
Check Other Stages for names you do not recognize. These are still synced from the ATS but are not active for scheduling.
Use search to quickly find duplicate or similarly named stages (for example, "Phone Screen" vs "Phone Interview").
After cleanup, open a job's interview setup to confirm only the stages you expect appear. Go to Hiring > Jobs, select a job, then under Setup choose Interviews.
Removing a stage from the schedulable list does not delete it from candidate.fyi. It moves to Other Stages, where you can add it back later if needed.
How schedulable stages appear on jobs
Schedulable Stages are managed at the organization level. On each job, candidate.fyi shows the schedulable stages that match that job's interview stages from the ATS.
On the job's Setup > Interviews page, the Schedulable Stages section lists which stages apply to that job. From there, editors can configure interview rounds, queues, and other scheduling settings for each stage.
If a job shows 'No schedulable stages found for this job', either no stages are marked schedulable in Settings, or none of the job's ATS stages match your schedulable list.
Schedulable Stages in Interview Plans
Interview plan templates also use your schedulable stage list. When you build or edit an interview plan under Templates > Scheduling > Interview Plans, only schedulable stages are available to configure.
