FAQ's: Setting up Interview Companion

What is Interview Companion?
An AI agent that joins interviews, captures what was discussed, and turns it into structured notes for your hiring team. It can also auto-fill interview feedback forms from the transcript (if enabled).
How do I turn it on?
Your CSM or engineering team will need to turn this on before setup begins. The interview companion agent is an additional feature that is in addition to the main features that candidate.fyi has.
ADMINS: Setting up the Interview Companion once Enabled
Create an Interview Companion agent
Go to Settings → AI → Agents → New agent → Interview Companion.Configure the settings:
Name & description — e.g. "Interview Companion"
Capture mode — Full capture (audio/video + transcript) or transcript only
Candidate consent model — Opt-out (recording on by default; candidates can opt out) or Opt-in required (candidate must consent before recording starts)
Message to candidates — Custom text about recording, with an optional link to manage consent preferences
Interview summary prompt — Default or custom format for generated notes
Data retention — How long to keep raw recordings/transcripts and generated notes (7 days to indefinite)
Autofill feedback form (optional) — Automatically fills interview scorecards from the transcript
Assign it to interviews
There are several ways to attach the companion:
a) Per scheduling request — On a scheduling request, assign an Interview Companion under "fyi Agents"
b) Per interview event — On an upcoming event, assign or change the companion before the interview starts
c) User default (Profile → Interview Companion) — Set a default companion that applies to your interviews automatically
d) Booking links — Toggle "Booking links" on in Profile → Interview Companion to add your default companion to self-scheduled interviews (individual links can override)
e) ATS-matched interviews — Toggle "Interview companion on ATS interviews" to add it when ATS-matched interviews land on the calendar
For Phone interviews (if applicable)
For phone interviews, interviewers also need to:
Register and verify a phone number under Profile → Scheduler Settings → Interviewer Phone
Use the "Call me now" link from their calendar invite (we call the interviewer first, then bridge in the candidate)
Reference dial-in numbers at

For Video interviews (Zoom / Google Meet / Teams)
For video interviews, the companion joins the meeting automatically when assigned — no extra action needed from interviewers beyond joining the call.
Common Admin Questions
Can I change consent settings after invites go out?
Yes, but calendar invites already sent won't update automatically — existing invites may not match the new default.
What happens if I remove or archive a companion?
It comes off all interview plans and automations immediately. Upcoming interviews won't generate notes or record media.
Can I override the companion on a single interview?
Yes — assign, change, or remove it on individual upcoming events or scheduling requests.
Who can edit these settings?
Admins can always edit. Other users can update interview settings if the org allows it.
USERS + CANDIDATES: Experiencing Interview Companion
What will candidates experience?
Before or during scheduling, candidates may see a Recording & AI notes section explaining:
AI-powered notes help interviewers focus on the conversation
The recording is only used to generate a summary for the hiring team
Only the hiring team can access it
Their choice won't affect their application
Depending on your org's consent model:
Opt-in required — Candidates must actively consent before recording starts
Opt-out (default) — Recording is on by default; candidates can opt out at any time
Candidates can change their preference later using the consent link in their interview invitation.
What is recorded?
Video interviews: Audio and video of the interview
Phone interviews: The phone conversation
Recordings are used to generate notes for the hiring team. Your org may choose transcript-only mode (no audio/video stored).
What will interviewers experience?
Video interviews:
Join the meeting as normal — the companion joins automatically
No need to take detailed notes during the call
After the interview, look for the "fyi notes" badge on the interview — this means notes are ready (summary + transcript)
Notes may take a few minutes to process after the call ends
Phone interviews:
Make sure your phone number is registered and verified in your profile
At interview time, open the "Call me now" link from your calendar invite
We call you first; once you answer, we call the candidate and connect you both
Will feedback forms be filled automatically?
If your org enabled "Autofill feedback form," the companion will pre-fill scorecards from the transcript. Interviewers can still review and edit before submitting.
Who can see the notes?
Only the hiring team for that role. Notes are not shared outside your organization.
What if a candidate opts out?
Recording won't happen for their interviews. The interviewers will need to take notes manually.
Common Candidate Questions
Will this affect my candidacy if I opt out?
No — the product explicitly tells candidates their choice won't affect their application.
Can I change my mind later?
Yes — candidates can update consent anytime via the link in their invitation.
How long are recordings kept?
Depends on your org's retention settings — anywhere from 7 days to indefinitely. Ask your admin for your company's policy.
