Why Can’t I See Any Interviewer Availability?

If you're not seeing any availability in candidate.fyi — either as a scheduler or during candidate self-scheduling — this guide will walk you through how availability works, common reasons it might not appear, and what settings to check.

How Does Interviewer Availability Work?

Availability is determined by a the combination of:

  • Interviewer availability and settings: based on their calendar, working hours, working days and event settings

  • Round settings: requirements like specific interviewers, interview order, or buffer times

  • Scheduling method:

    • Self-scheduling: The candidate chooses from suggested times

    • Availability entry: The scheduler chooses times from the recommended slots view that align with the candidate's submitted availability

Each layer can introduce constraints that prevent availability from showing.

Where Are You Seeing the Issue?

Choose the scenario that matches what you're seeing:

  1. The candidate doesn't see any availability when self-scheduling

  2. I (scheduler) don't see any availability when selecting “Suggested Slots” during scheduling

What to Consider

Candidate Availability

Ensure the candidate submitted availability, and that it overlaps with your interview window

(setting location: individual scheduling request)

All Day or Multi-Day Calendar Events

If there are all day events on an interviewer's calendar, and they are not marked as "free", they will restrict the full day's availability for that interviewer

Interviewer

Limits

Interviewers who’ve hit their daily/weekly max won’t be included

(setting location: scheduling > interviewers )

Working Hours / Working Days

Interviewers' working hours and working days must overlap with candidate’s availability

(setting location: scheduling > interviewers)

Timezones

There must be enough overlap across the candidate and interviewer(s) timezones

(setting location: a red clock will appear when scheduling if the interviewer and candidate are in different time zones)

Tags (Any vs All)

Ensure that there are enough interviewer options associated with the tags you may be using

If using tags, "All" is stricter — switch to "Any" to broaden your pool

Round Requires Specific Interviewers

Multiple required interviewers per interview session reduces available options

"Restrict to Calendar Events" Setting

Interviewers must have matching "restricted events" on their calendar (e.g. interviewing block)

Whitelisting

If your organization has company wide blocks, such as "focus time", consider whitelisting those events if they can be scheduled over. If they are not whitelisted, they will block availability during those times.

Buffer Time Requirements

If buffer time requirements are set for too long of a timeframe, it will limit availability

Blacklisted Calendar Events

Company wide blacklisted events may limit availability since we do not schedule over them. Note: Blacklisted event names override the calendar event's 'free/busy' status and will always be treated as busy.

Troubleshooting Tips

  • Try switching to Suggested Slots: If you're troubleshooting a self-scheduling issue, use the Suggested Slots panel yourself to see if availability appears — this can help you isolate the issue.

  • Test with a known available interviewer: Try scheduling with a single known available interviewer to see if it’s an interviewer pool issue.

  • Use Tags carefully: Too many tag constraints = fewer available interviewers.
