Rescheduling: Self-Schedule Requests

Self-schedule requests let candidates pick their own interview times. After a candidate has booked, either the candidate or a scheduler on your team can reschedule to a new time. This guide covers both paths, how to tell when a reschedule has happened, and the settings that control whether candidates can reschedule on their own.

Before you start

Rescheduling in this guide applies to Self Booking scheduling requests — the type where the candidate selects times from your scheduling link.

Whether a candidate can reschedule depends on the Maximum rescheduling attempts setting on the round template or on the individual request (under the Round request settings). This controls how many times the candidate may reschedule. Staff reschedules are not counted toward this limit.

  • If Maximum rescheduling attempts is set to 0, candidates cannot reschedule. The Reschedule button will not appear on the candidate scheduling page from the link sent when booking.

  • If the candidate has used all allowed attempts, the Reschedule button is also hidden and they will need to email the recruiter/scheduler.

  • The default for new requests is typically 3 attempts unless your team has changed the round template.

How a candidate reschedules

After a candidate has booked their interview(s), they can reschedule from the scheduling link you sent them.

Step 1: Open the scheduling confirmation page

The candidate opens their scheduling link (the same link used to book originally). If interviews are already booked, they land on the confirmation page showing their scheduled date(s) and time(s).

Step 2: Click Reschedule

On the confirmation page, below the scheduled interview details, the candidate clicks the Reschedule link/button. This option only appears when rescheduling is allowed for the request.

Candidates may also see a Reschedule option from an interview card in the candidate portal, when rescheduling is enabled for that request.

Step 3: Choose new interview time(s)

The candidate is taken to a slot-selection screen. Depending on how the round is configured:

  • Individual interview selection — the candidate picks a new time for each interview one at a time.

  • Entire schedule selection — the candidate picks a complete schedule (all interviews together).

Previously booked times may appear on screen so the candidate can compare. If a candidate keeps the same time for an interview, they can skip that interview and move on.

They can adjust their timezone and, if enabled for your organization, their daily availability window before selecting slots.

Step 4: Review and submit

On the review screen, the candidate sees their new selections. Any changed times show the previous time crossed out and the new time below it.

If your organization uses recording consent or interview preferences on self-schedule requests, those options may appear here as well.

The candidate clicks Submit. They are returned to the confirmation page with their updated interview times. Calendar invites are updated automatically.

How a scheduler reschedules

Schedulers and recruiting coordinators can reschedule a self-schedule request from the platform at any time, regardless of the candidate reschedule limit.

Option A: Reschedule Now

Use this when you want to pick and confirm a new time immediately (i.e the candidate has provided you with an alternative time to book, that aligns with the interviewer's availability.)

  1. Open the request from Scheduling > My Requests or Scheduling > All Active.

  2. From the request page, open the more actions menu (three dots) and choose Reschedule Request > Reschedule Now.

  3. Alternatively, click the calendar icon on the request row in the requests list, or open Scheduling > [request] > Schedule.

On the Schedule page, select a new time block for each interview that needs to change. Interviews marked for rescheduling show a Requires Rescheduling or Rescheduling status.

When you are ready to confirm, open the review modal. If you are changing times on already-booked interviews, a Reschedule reason dropdown appears — select the appropriate reason from your organization's list.

Click to confirm and book. Updated calendar invites are sent automatically.

Option B: Cancel and Reschedule Later

Use this when you need to cancel the current calendar hold first and reschedule at a later time.

  1. From the request page more actions menu, choose Reschedule Request > Cancel and Reschedule Later.

  2. Or, for a single interview, open the interview's action menu and choose Reschedule Interview > Cancel and Reschedule Later.

A modal titled Cancel and Reschedule Request Later (or Cancel and Reschedule Interview Later for a single interview) shows the interviews that will be affected. The reason shown is Cancel to reschedule.

You can either:

  • Click Reschedule Now to go directly to the Schedule page, or

  • Click Confirm & Cancel to cancel the calendar invites and mark the interview(s) as needing rescheduling.

After confirming, a success message indicates the interview(s) have been moved to Needs Rescheduling.

Reschedule a single interview

From the interview details on the request page, open the interview action menu and choose Reschedule Interview. The same Reschedule Now and Cancel and Reschedule Later options are available for that individual interview.

How schedulers know a reschedule is needed or has happened

On My Requests and All Active

Go to Scheduling > My Requests (requests assigned to you) or Scheduling > All Active (all in-progress requests).

  • Use the Requires Action checkbox at the top of the page to filter to requests where something needs your attention — including interviews that Requires rescheduling.

  • Click the calendar icon on a request row to open the Schedule page directly.

On the interview request page

  • Interview status — an interview marked for rescheduling shows a Requires rescheduling indicator on the interview card.

  • Activity tab — open the Activity tab on the request. When a reschedule happens, an entry appears titled Interview Rescheduled. The description reads Candidate rescheduled when the candidate made the change, or Coordinator rescheduled when a team member rescheduled. The entry includes the interview name and, when applicable, the reschedule reason.

Email notifications

When an interview is rescheduled, the scheduler (calendar owner) associated with the event may receive an email with a subject line like Rescheduled: Event with [Candidate Name] - [New Date and Time]. The email includes a link to view the event details.

Slack notifications

If your organization has Slack connected to candidate.fyi, a Slack notification may be sent when an interview is rescheduled. When this happens, an entry may also appear on the request's Activity tab as Notified via Slack.

Chrome extension

When viewing a candidate in your ATS with the candidate.fyi Chrome extension, scheduling activity — including reschedules — appears in the extension's activity feed. Reschedule events use a calendar icon and appear alongside other scheduling activity for that candidate.

Related settings

To allow or limit candidate self-rescheduling:

  • Templates > Scheduling > Rounds > [round] > Settings — set Maximum rescheduling attempts under Self Scheduling.

  • On an individual request — open the request settings side panel and adjust Maximum rescheduling attempts under candidate selections.

Reschedule reasons used by schedulers when confirming a new time are managed under Settings > Scheduling > Cancel & Reschedule Reasons.
