Rescheduling: When an Interviewer Declines or Has Not Accepted an Invite

When an interviewer declines a calendar invite—or has not yet accepted—you may need to replace them, reschedule the interview, or ask the candidate for new availability. This guide walks through how candidate.fyi alerts you, where to find affected requests, and the steps to take.

Important: The product treats three interviewer responses differently:

  • Declined — the interviewer explicitly declined the calendar invite.

  • Tentative — the interviewer tentatively accepted (not a firm yes).

  • Pending or Awaiting Confirmation — the interviewer has not responded yet.

Each situation uses different status labels and may require different actions. This guide focuses on declined interviewers and unconfirmed interviewers who have not accepted.

Turn on decline notifications (recommended)

Before an issue comes up, confirm your notification settings are enabled:

  1. Go to your profile and open Scheduler Settings.

  2. Find the toggle labeled Interviewer Rejected (description: “Receive notifications when interviewers decline interview invitations”).

  3. Set it to Enabled.

When enabled, you receive an email with a subject like Interviewer Decline: [Name] declined the [Interview Name]. If the interviewer provided a reason, it appears in the email and in the request’s Activity feed.

If your organization uses Slack, you may also see a Slack notification when an interviewer declines.

How you’ll know a request needs attention

On your request lists

Open Scheduling → My Requests or Scheduling → All Active (this is the full list of open scheduling work across your organization).

Look for these signals:

  • Requires Action — use the Requires Action filter or checkbox to show only requests that need coordinator attention.

  • Needs Rebooking (On You) — the request status changes to this when at least one interviewer has declined.

The same filters appear on Unassigned and individual Queue views.

On the interview request page

Open the request and go to the Interviews tab. You may see:

  • An action pill labeled Declined interviewers (when someone declined).

  • An action pill labeled Tentative interviewers (when someone tentatively accepted).

  • An orange indicator on the interview progress bar when action is required.

  • Per-interviewer badges: Declined, Tentative, Pending, Awaiting Confirmation, or Accepted.

Activity feed

On the request page, open the Activity tab. Look for entries such as:

  • Interviewer Declined

  • Interviewer Tentatively Accepted

  • Interviewer Auto-replaced (if your organization uses automatic replacement)

  • No Interviewer for Auto-replacement (if automatic replacement could not find someone)

Task Queue (if enabled for your organization)

Open the Task Queue tab on the request. You may see a task titled Handle Declined Interviewer with a message like “fyi will auto-replace declined interviewers [time].” If automatic replacement fails, a button labeled Replace Interviewer appears.

Chrome extension

The candidate.fyi extension shows the same request status labels (including Needs Rebooking (On You)) and activity icons for declined interviewers. Use the extension to spot issues quickly; open the full request in candidate.fyi to take action.

When an interviewer declines

If automatic replacement is enabled

Some organizations enable Auto Replace Declined Interviewers on their scheduling templates or requests. When this is on, candidate.fyi may automatically find and assign a replacement interviewer.

  • On success, the Activity feed shows Interviewer Auto-replaced.

  • On failure, you see No Interviewer for Auto-replacement and a Replace Interviewer button in the Task Queue.

Automatic replacement may not run if the interview is too close to its start time (based on your organization’s Auto-replacement cutoff before meeting starts setting). In that case, you must replace the interviewer manually.

Replace the interviewer manually (same time slot)

If automatic replacement is off, failed, or skipped, follow these steps:

  1. Find the request using Requires Action or look for Needs Rebooking (On You).

  2. Open the request and confirm the Declined interviewers pill on the Interviews tab.

  3. Replace the interviewer using one of these paths:

    • On the Calendar Invites section, click the Swap interviewer button next to the declined interviewer, then confirm in the Swap Interviewers modal.

    • Click Schedule to open the scheduling workspace. On the booked interview card, use the swap interviewers option and confirm with Set Interviewers or Swap in Slot.

    • From the Task Queue, click Replace Interviewer to open the Replace Interviewers modal.

  4. In the swap modal, remove the declined interviewer (minus icon), add a replacement (plus icon), and click Swap Interviewers.

  5. Optionally toggle Send Update Notification for Candidate and/or Interviewers to notify people of the change.

When reviewing replacement options, each interviewer card shows availability badges such as Available, Unavailable, or Declined.

On success, you see a confirmation message: Interviewers updated.

Reschedule to a new time

If the original time no longer works after a decline, you may need a new slot:

  1. Click Schedule on the request.

  2. Select a new time on the calendar.

  3. The interview card may show Requires Rescheduling or Rescheduling while you work.

  4. Complete the review and confirm flow to book the new time.

The Activity feed records Interview Rescheduled when complete.

Re-gather candidate availability

If the entire schedule needs to be rebuilt—for example, no interviewer is available at the original time—you may need fresh availability from the candidate:

  1. On the Task Queue tab, use Re-request Availability or Re-request Availability from Candidate (available from task escalation options or by creating a new task).

  2. When the candidate responds, availability appears on the request and you can schedule again from the Schedule workspace.

The Activity feed logs Scheduling Request Availability Re-requested when availability is requested again.

When an interviewer has not accepted (but has not declined)

An interviewer who has not responded shows Pending or Awaiting Confirmation. This is different from a decline—you typically will not see the Declined interviewers pill or Needs Rebooking (On You) status unless they actually decline.

What you can do:

  • Check the Task Queue for a task such as Handle Confirm Interviewers (“fyi will reach out to confirm interviewers [time]”), if your organization has confirmation outreach enabled.

  • Wait for the interviewer to respond, or reach out to them directly outside candidate.fyi.

  • If you need a different person, use Swap interviewer on the Calendar Invites section to assign someone else before the interview.

Needs confirmation from the team: There is no single user-facing timeout that marks a pending interviewer as “overdue.” Confirm with your team how long to wait before replacing an interviewer who has not responded.

When an interviewer tentatively accepted

A tentative response shows the Tentative interviewers pill and a Tentative badge on the interviewer row. The Activity feed shows Interviewer Tentatively Accepted.

You can follow up with the interviewer directly, manually update their attendance status to Accepted or Declined, or use Swap interviewer to assign a different person.

Common decline reasons you may see

When interviewers decline through their calendar, they may select a reason. These can appear in the Activity feed and decline notification email:

  • I have a conflict at the proposed time.

  • I'm on vacation or away from work.

  • I'm not the best fit for this stage or role.

  • My Interview Load is already full

  • I've previously met with this person.

  • Other

  • Not Specified

If something goes wrong

  • Failed to update interviewers — the swap did not save. Try again or contact support if the issue persists.

  • Unable To Find Interviewer — automatic or manual replacement could not find an available interviewer. Try a different person, reschedule, or re-request candidate availability.

  • This task list has been canceled — the Task Queue for this request was canceled; manual action from the Interviews tab or Schedule workspace may still be available.
