Setting up Calendar Templates

Calendar templates streamline the process of communicating with candidates, ensuring consistency, and saving time during the scheduling process.

CREATING CALENDAR TEMPLATES

Step 1: Navigate to Calendar Template Setup

  • Go to Templates + Libraries on the left menu bar.

  • Under Scheduling, click Calendar Templates.

Step 2: Create a New Calendar Template

  • Click "New +" on the top right.

Step 3: Customize Your Template

  • Assign a name to your calendar template.

    • This name is internal only.

    • Using a naming convention can help keep these organized over time.

  • Add an Interview Name

    • The is the name that the candidate and interviewers will see on the Calendar.

    • For added customization and personalization, click the tag icon in the formatting bar to show all tokens available to use.

      • A token is a dynamic field that allows for tailored information to be pulled in from the job, application and company information.

  • Add an Interview Description. This is where the content will show for candidates and interviewers about the interview.

    • Format the text, use links where necessary and most importantly, use tokens. Tokens commonly used in the email content are:

      • candidate's name

      • interview schedule

      • video conference link

      • recruiter, hiring manager or request creator's name or email

Step 4: Add attachments (if needed)

Step 5: Save Your Template

  • Click Save.

USING CALENDAR TEMPLATES

  • Once in the scheduling event, click on Calendar Invites.

  • Click on the 'Import Template' button.

  • Select the template which will auto-populate the email's subject and body.

  • Edit further as needed.
