Scheduling: Understanding the Interview Request Page

When you open a scheduling request for a candidate, you land on the Interview Request page. This page is your home base for coordinating interviews — reviewing what needs to happen, checking recent updates, and taking action.
You can reach this page from Scheduling in the left sidebar. Open a request from My Requests, All Active, Unassigned, or Archived. Click any row in the list to open that candidate's request.
Page layout
The page is split into two main areas:
Center panel — tabs for interviews, activity, and (when enabled) task queue work.
Right panel — Request Details with candidate info, request fields, and action buttons.
The page title shows the candidate's name. If the request has been canceled or archived, you may see a Canceled or Archived badge, and most editing actions will be hidden.
Interviews tab
The Interviews tab is selected by default. It shows everything you need to schedule and track interviews for this request.
Instructions
At the top, you will see scheduling notes or instructions for this request. If you have edit access, click the pencil icon to update them.
Candidate Availability
For availability request types, this section shows whether the candidate has submitted their times. You may see Not yet submitted, Entry Open (meaning the candidate can still add times), or a list of submitted dates and times. This section does not appear on self-booking requests.
Candidate Form
If a form is attached to the request, you can view the candidate's submission here.
Interviews list
Each interview in the round appears as its own card. Cards show the interview name, status (such as Not scheduled, Scheduled, or Confirming), location, interviewers, and calendar invite details.
When a scheduler is assigned and you have edit access, each interview card includes scheduling actions such as Schedule, Schedule Interview, or Reschedule Interview, plus a menu (⋯) with options like confirming interviewers, rescheduling, or canceling.
Activity tab
The Activity tab shows a timeline of everything that has happened on this request — when it was created, when a scheduler was assigned, when emails were sent, when interviews were scheduled or canceled, when availability was updated, and more.
Activity is paginated (10 items per page). If nothing has happened yet, you will see No activity yet.
When an email appears in the activity feed, you can click it to open a View Email window and read the full message.
Note: The Activity tab appears only when email features are enabled for your organization.
Task Queue tab
Some requests include a Task Queue tab when task-list features are enabled. Use it to work through scheduling tasks tied to this request. If you do not see this tab, it is not enabled for your organization or this request.
Request Details panel
On the right side of the page, the Request Details panel keeps key information and actions in one place.
Candidate information
Candidate name (links to their profile)
Job title and job code
Email address (editable if you have edit access)
Progress indicator showing where the request stands: Pending, Scheduling, Confirming, Booked, or Canceled
Request fields
Status — update the request status
Priority — Normal, High, or Urgent
Request Type — such as self booking or availability
Scheduler — who is responsible for scheduling
Recruiter — assigned recruiter(s)
Round — the interview round template; click to swap rounds
Stage — ATS stage mapping
Queue — scheduling queue assignment
Form — attached candidate form, when applicable
Slack Channel — linked Slack channel, when one exists
Toolbar actions
At the top of the panel, icon buttons let you:
Settings (gear) — open Edit request settings
Refresh candidate and application — pull the latest candidate and application data from your ATS
More (⋯) — additional options including Create Slack Channel, Copy Link, Archive Request, Reschedule Request, and Cancel Request
Action buttons
At the bottom of the panel (for active requests where you have edit access):
Send Mail — email the candidate
Schedule — open the scheduling workspace (shown when a scheduler is assigned)
Assign — assign a scheduler and calendar (shown when no scheduler is assigned yet)
Send Candidate Invitation — send a calendar invite to the candidate when interviews are booked or confirming but the candidate has not received an invite yet
Who can edit what
Anyone with access to Scheduling can view a request page. Editing actions (changing status, sending mail, scheduling, updating availability, and opening settings) require Editor access or above (Admin, Editor, or Recruiter Editor). See Permissions.
Archived or canceled requests hide most action buttons and disable many fields.
