Scheduling: Confidential Scheduling Requests

Overview

Confidential scheduling requests limit who can view and work on certain interviews. In candidate.fyi, confidentiality is set on the round (interview template), not on each individual scheduling request. Once a round is marked confidential, every scheduling request created from that round inherits the same access restrictions.

This guide walks through setting up a confidential round and creating scheduling requests from it.

Before you begin

  • Only users listed as authorized users on the round can create scheduling requests from it, be assigned as the scheduler, and see those requests in scheduling lists.

  • Organization admins can access all confidential rounds and scheduling requests, regardless of the authorized users list.

  • Consider if there also needs to be confidential calendars created for invites to live on. While confidentiality will be maintained in candidate.fyi, if a shared calendar is selected, anyone with permissions there will be able to view. Adding a new confidential calendar increases the privacy.

Step 1: Set up a confidential round

Confidentiality is configured when you create or edit a round under Templates & Libraries > Scheduling > Rounds.

When creating a new round

  1. Go to Templates & Libraries > Scheduling > Rounds.

  2. Create a new round and open its settings.

  3. Turn on Is Confidential Round. (This option is only available to organization admins when creating a new round.)

  4. Under Allowed Confidential Users, add everyone who should be able to see and schedule interviews for this round.

  5. Save the round. The person who saves the round is automatically added to the allowed users list.

When editing an existing round

  1. Go to Templates & Libraries > Scheduling > Rounds and open the round you want to update.

  2. In the round editor, open the General settings section.

  3. Turn on Confidential round.

  4. Under Authorized users, use Add user to add each person who should have access. Remove users with the trash icon if needed.

  5. Save your changes.

Needs confirmation from the team: Confirm with your administrator which roles can turn on confidential round when editing an existing round (vs. creating a new one).

Step 2: Create a scheduling request from the confidential round

There is no separate “confidential” toggle when creating a scheduling request. Choose a confidential round, and the request automatically inherits its access restrictions.

From the Chrome extension (most common)

  1. Open the candidate’s application in your ATS (for example, Greenhouse).

  2. Open the candidate.fyi scheduling extension.

  3. Select the correct stage if prompted.

  4. Choose one of the scheduling actions, such as:

    • Send Availability Request

    • Send Self-Schedule Request

    • Request to Schedule

    • Schedule Now

    • Start Scheduling (when a job automation is ready)

  5. If needed, select your confidential round using Select Round or Select interview round.

  6. Set Assign to or Scheduler to someone on the round’s authorized users list.

  7. Adjust any other settings (priority, email, note, and so on) and submit.

From Templates & Libraries

  1. Go to Templates & Libraries > Scheduling > Rounds.

  2. Find your confidential round and click Request, or open the round editor and click Request in the header.

  3. Fill in Candidate, Scheduler, Scheduling Type (Availability or Self-booking), and any other required fields.

  4. Click Create Request.

From Recruiting Events

  1. Go to Scheduling > Recruiting Events and open an event.

  2. From the applications table row menu, choose an action such as Send Availability Request, Send Self-Schedule Request, Create Availability Request, or Create Self Scheduling Request.

  3. In the Create Scheduling Request window, select your confidential round (if more than one is available), assign an authorized scheduler, and click Create.

Who can see confidential scheduling requests?

  • Authorized users on the round can see and work on scheduling requests created from that round. They appear in lists such as Scheduling > My Requests and Scheduling > All Active.

  • Organization admins can see all confidential scheduling requests.

  • Team members who are not on the authorized users list will not see these requests in scheduling lists or workflow views.

Important requirements and limits

  • Creator must be authorized: You must be on the round’s authorized users list to create a scheduling request from a confidential round.

  • Scheduler must be authorized: The person assigned as scheduler (under Assign to or Scheduler) must also be on the authorized users list. If they are not, the request cannot be created.

  • At least one authorized user: A confidential round should always have at least one authorized user. Without authorized users, non-admin team members cannot access the round.

Confidential rounds vs. similar settings

These settings sound similar but work differently:

  • Confidential round / Is Confidential Round: Controls who inside candidate.fyi can see and manage the round and its scheduling requests.

  • Private events / Private Event: Controls whether calendar invitations are marked private on attendees’ calendars. This does not restrict who can see the scheduling request in candidate.fyi.

  • Show in portal / Show Request In Portal: Controls whether the candidate sees the request in their portal. Separate from internal confidentiality.

  • Exclude confidential jobs (under Settings > Integrations): Hides jobs marked confidential in your ATS from syncing into candidate.fyi. This is about job visibility, not scheduling request access.
