Profile Scheduler Settings: Default Calendars

Your default calendar (sometimes called your personal calendar) is the connected Google or Outlook calendar Candidate.fyi uses when creating events on your behalf. Set it once, and it applies across booking links, scheduling requests that use the scheduler default calendar, and other flows where no calendar is chosen explicitly.

Prerequisites

  • Connect your Google or Microsoft calendar under Profile → Scheduler Settings. See Connecting Google Calendar or Connecting Outlook for setup steps.

  • After you connect, Candidate.fyi syncs the calendars available on your account. If no default is set yet, we may automatically select a calendar that matches your email.

Setting Your Default Calendar

  1. Go to Profile → Scheduler Settings.

  2. Open the Scheduling Calendars section.

  3. Review the list of calendars synced from Google or Outlook.

  4. Open the menu on the calendar you want to use and select Mark as default.

  5. Confirm that a Default badge appears on that calendar.

You can change your default at any time by marking a different calendar. Refresh calendars if a newly shared or created calendar does not appear yet.

Your current default is also shown (read-only) under Profile → My Booking Links → Settings, with a link back to Scheduler Settings to edit it.

Where Your Default Calendar Is Used

Booking links

When a candidate books through one of your booking links and that link does not have its own calendar override, the event is created on your default calendar.

You can still choose a different calendar on an individual booking link. In the booking link settings, use the optional Calendar field. If you leave it empty, your default calendar is used.

Default Scheduler Calendar (smart calendar)

In round templates, interview plans, and scheduling requests, you can select Default Scheduler Calendar (also shown as Scheduler Default Calendar) as the event calendar.

This is not a real Google or Outlook calendar. When a scheduler is assigned to the request, Candidate.fyi replaces it with that scheduler’s default calendar. That lets templates stay flexible when different coordinators own different requests.

If a request uses the Default Scheduler Calendar and the assigned scheduler has no default calendar set, scheduling cannot complete until a default is selected.

Other scheduling flows

If no calendar is passed explicitly (for example in some individual scheduling or agent-assisted flows), Candidate.fyi falls back to your default calendar.

How This Differs From Organization Calendar Settings

Organization scheduling settings can define default interviewer, candidate, and debrief calendars used for availability and free-busy checks across the company.

Your personal default calendar is different: it controls which of your connected calendars Candidate.fyi writes events to for you. Setting one does not change the org-wide availability calendars.

Best Practices

  • Set a default calendar as soon as you connect Google or Outlook so booking links and Default Scheduler Calendar templates resolve correctly.

  • Prefer a shared or team calendar as your default if multiple coordinators need to manage the same events.

  • After changing your default, spot-check a booking link and a template that uses Default Scheduler Calendar to confirm events land on the expected calendar.

Frequently Asked Questions

Do I have to set a default calendar on every booking link?

No. Set it once in Scheduler Settings. Only set a calendar on an individual booking link when that link should use a different calendar than your default.

Can I use Default Scheduler Calendar as my personal default?

No. Default Scheduler Calendar is a smart option used in templates and requests. Your personal default must be a real connected calendar.

What happens if I change my default calendar?

New events created from booking links (without a per-link override) and from requests that resolve Default Scheduler Calendar to you will use the new calendar. Existing calendar events already created are not moved.
