Scheduling: Editing Request and Round Settings

Each scheduling request inherits settings from its interview round, but you can adjust them for a specific candidate without changing the round template. Use Edit request settings to customize how scheduling, calendar invites, emails, and candidate selections work for this request.

How to open settings

There are two ways to open the settings panel:

  • On the interview request page, click the gear icon (Settings) in the Request Details panel toolbar.

  • On the schedule page, click Edit Round Settings in the toolbar.

Both open the same Edit request settings side panel.

Who can edit settings

  • You need Editor access or above.

  • The request must be active (not archived or canceled).

  • Some settings become locked once interviews are booked or confirming. Locked fields show tooltips explaining why they cannot be changed.

Settings sections

Settings are organized into accordion sections. Expand each section to view and edit its fields.

General

  • Scheduling type — read-only (shows Self Booking or Availability)

  • Candidate

  • Scheduler

  • Event calendar

  • Queue

  • Private events

  • Show in portal

Automation & AI

Options such as automatically replacing declined interviewers and AI follow-up (when enabled for your organization).

Calendar Invitations

  • Shared template settings

  • Same-day invites

  • Auto footer

  • Auto-send candidate invite

  • Hold and confirmed labels

Emails & Reminders

  • First reminder (hours before interview)

  • Second reminder (hours before interview)

Candidate Selections

  • Candidate Form

  • Min Buffer Hours

  • All Interviews Scheduled within X Days

  • Max Reschedules Allowed

  • Candidate Selection Interval

  • Select entire schedule

  • Suggest Available Times

Panel Interviews

  • Exclude previous interviewers

  • Back-to-back interview settings

Training

Trainee auto-selection and replacement options (when enabled for your organization).

Saving your changes

Click Save at the bottom of the panel. The button stays disabled until you make a change, or if there are validation errors.

If you try to close the panel with unsaved changes, you will see Save changes? with three options:

  • Don't save

  • Keep Editing

  • Save

Settings that may be locked

After interviews are booked or confirming, several fields cannot be changed. Common examples include:

  • Round — you cannot swap rounds once interviews are booked (Round cannot be swapped once interviews are booked)

  • Queue — once assigned, the queue cannot be changed (The queue cannot be changed once it is assigned)

  • Form — cannot be changed once interviews are booked or after the candidate submits a form

Editing settings visibility

Some organizations can open a secondary panel titled Edit request settings visibility to control which settings sections appear. This is an admin-level configuration — needs confirmation from the team on which roles see this option.
