ATS Quick Links: Set Up and Troubleshoot Scheduling Links

ATS quick links let recruiters start a scheduling request for a candidate directly from your applicant tracking system (ATS). When someone clicks the link on a candidate's profile, candidate.fyi creates (or opens) a scheduling request and sends them to the candidate scheduling page.

Quick links are available for organizations integrated with Greenhouse or iCIMS.

Before you start

Your round must be set up before a quick link will work. Confirm the following:

  • Your organization is connected to Greenhouse or iCIMS.

  • The round has at least one interview configured.

  • The round has a Default scheduler selected. (Only users with a connected calendar appear in this list.)

  • The round is not archived.

Set the default scheduler on the round edit page under Default scheduler (Optional) in the General settings.

Copy a quick link from candidate.fyi

  1. In the left sidebar, open Templates & Libraries > Scheduling > Rounds.

  2. Find the round you want to use.

  3. Click the three-dot menu (⋮) at the right end of the row.

  4. Choose one of the copy options:

    • Copy ATS request create quick link - Self schedule — creates a self-scheduling request.

    • Copy ATS request create quick link - Availability — creates an availability-collection request.

When the copy succeeds, a check mark briefly appears next to the menu item.

Note: These copy options only appear for Greenhouse and iCIMS integrations, and only when the round has a default scheduler and at least one interview.

Add the link in your ATS

The copied link includes a placeholder that your ATS fills in for each candidate. Paste the full link where your team will click it from a candidate's application—for example, in an email template by hyperlinking text (i.e. Schedule Your Interview Here), a custom URL field, or a workflow link.

Greenhouse

The copied link includes the Greenhouse token {{APPLICATION_ID}}. Greenhouse replaces this with the current application ID when the link is used on a candidate profile.

Do not remove or edit {{APPLICATION_ID}} when pasting the link.

iCIMS

The copied link includes iCIMS submittal placeholder text (for the submittal ID). iCIMS replaces this with the correct value when the link is opened from a submittal record.

Do not edit the placeholder portion of the link when pasting it into iCIMS.

Needs confirmation from the team: Confirm with your iCIMS admin which link or workflow field supports submittal URL variables.

Self schedule vs. availability

  • Self schedule — The candidate picks interview times from available slots based on your round settings.

  • Availability — The candidate submits times they are available so your team can schedule around them.

Pick the option that matches how your team schedules that interview stage. Each round can have both links copied separately.

What happens when someone clicks the link

  1. The page shows Preparing your scheduling request.... with a loading indicator.

  2. candidate.fyi creates a new scheduling request—or opens an existing one for the same candidate, round, job, and stage.

  3. The user is taken to the candidate scheduling page for that request.

In candidate.fyi, the scheduling request activity log shows that the request was created via Quick Link.

Troubleshooting a broken link

The copy options do not appear in the Rounds menu

  • Confirm your organization uses Greenhouse or iCIMS. Quick links are not available for other ATS integrations.

  • Open the round and set a Default scheduler who has a connected calendar.

  • Add at least one interview to the round.

  • Check that the round is on the Active tab, not archived.

The page says "We were unable to pull up the schedule request for you"

This usually means candidate.fyi could not create the request. Common causes:

  • The round has no default scheduler. Edit the round and assign one.

  • The candidate's application has been rejected in your ATS.

  • The round is tied to a specific job, but the candidate's application is for a different job.

  • The ATS placeholder in the link did not resolve to a valid application (for example, the link was copied incorrectly or opened outside a candidate application context).

If the message includes a note to contact the recruiting team, share the candidate name, round name, and the link location in your ATS with your candidate.fyi admin.

The page says "Sorry, we are too busy now. Please try again later."

Too many requests were made in a short time. Wait a minute and try the link again.

The link opens but scheduling looks wrong

  • Confirm you copied the correct link type (Self schedule vs. Availability).

  • Check that the default scheduler still has a connected calendar and access to the round's event calendar.

  • If a request already existed for that candidate and round, candidate.fyi opens the existing request instead of creating a duplicate.

The link worked before but stopped working

  • Check whether the round was archived, deleted, or had its default scheduler removed.

  • Confirm the ATS integration is still connected (see Integrating Greenhouse or your iCIMS setup guide).

  • Re-copy the link from the Rounds page in case the round was updated.
