Setting up Email Templates

Email templates streamline the process of communicating with candidates, ensuring consistency, and saving time during the scheduling process.

Creating Email Templates

Step 1: Navigate to Email Template Setup

  • Go to Scheduling on the left menu bar.

  • Under Setup, click Email Templates.

Step 2: Create a New Email Template

  • Click "New +" on the top right.

Step 3: Customize Your Email Template

  • Assign a name to your email template.

    • This name is used to identify the template within the candidate.fyi platform and should be descriptive of its purpose.

  • Select a purpose.

    • Setting a purpose allows for this template to only show in specific scenarios. (i.e. If 'purpose = self scheduling,' this template will only show when self scheduling a candidate.)

  • Add a subject line. This is what the candidates will see first.

    • For added customization and personalization, click the tag icon in the formatting bar to show all tokens available to use.

    • A token is a dynamic field that allows for tailored information to be pulled in from the job, application and company information.

  • Create the email content.

    • Craft the content of your email in the body section.

    • Format the text, use links where necessary and most importantly, use tokens. Tokens commonly used in the email content are:

      • candidate's name

      • interview schedule

      • video conference link

      • recruiter, hiring manager or request creator's name or email

Step 4: Save Your Template

  • Click Save.

Using Email Templates when Scheduling

  • Use the dropdown to select from the saved email templates.

  • This will auto-populate the email's subject and body.

  • Edit further as needed.
