OVERVIEW
When scheduling in candidate.fyi, teams have the option to adopt different automation and AI options to speed up hiring cycles, When transitioning into automations, it is often best to adopt in phases.
This will help teams adapt to the changes in agency, speed of candidate interviewing and administrative tasks needing to be completed per hiring cycle.
RECOMMENDED PHASES FOR ADOPTION
Phase One
Use Send Self Schedule Request for all 1:1 interviews (Recruiter Screens, Hiring Manager Screens, etc)
This can be used in tandem with Scheduling Windows to allow recruiters and hiring managers to select specific windows to interview within, which will negate the feeling of losing calendar autonomy
EXPECTED OUTCOMES
Hiring time reduced: The invitation to self schedule is sent he candidates will book straight into calendars, removing the time to gather availability and time to schedule.
Administrative debt reduced: Recruiters and Schedulers no longer have to manage availability gathering, or initial scheduling activities at all.
Use Scheduling Companion Agent to automate reminders and follow ups either through email or through Slack if integrated
EXPECTED OUTCOMES
Minimizes manual interviewer reminders to accept or decline interviews or fill in scorecards post-interview
Phase Two
Create and use Interview Plans and allow self scheduled interviews to automatically send to candidates at stage entry
EXPECTED OUTCOMES
Reduction of all manual initial scheduling tasks. Only conflicts that the system cannot solve for will require support.
Increase in scheduling speed
Use Training Paths and Tags with auto-graduate tag generation

Interview pools can grow quickly and be used in a strategic way for interviewing.
Removal of trained interviewer tracking
Removal of interview pool capacity tracking
Use Auto-Replace for declined interviews on panel interviews with more than one interviewer

Minimal need for scheduling intervention provided the interviewers calendar are up to date. TIP: Using scheduling windows can support making this even more efficient for candidates to book.
Phase 3
Use the Interviewer Companion agent to automate note-taking in interviews

EXPECTED OUTCOMES
When candidates opt in, recruiters and interviewers will no longer need to take notes.
Quality reviews on interviews can be conducted easily. The findings can be used for training.
