Scheduling: Sending Email and Scheduling Interviews from a Request

From an interview request page, you can email the candidate and open the scheduling workspace to book interview times. This guide covers both workflows.

Before you start

  • You need Editor access or above.

  • The request must be active (not archived or canceled).

  • Send Mail appears only when email features are enabled for your organization.

Sending email to the candidate

Open the email window

On the Request Details panel, click Send Mail. The Send Email window opens.

Choose a thread

  • Start New Thread — begin a new email conversation. This option is disabled if there are no prior email threads on the request.

  • Reply to Thread — continue an existing conversation. You must select a thread before sending.

You can attach files using the attachments area.

Preview and send

Click Preview to review the email before sending, then click Send. Or click Send directly from the compose view.

When the email sends successfully, you will see Email sent successfully. The email also appears on the request's Activity tab.

If you cannot send email

If your email address is not verified, you will see Please Verify Your Email with a link to verify it on your profile. You must verify your email before you can send messages from candidate.fyi.

Required-field errors include Subject is required, Body is required, and Please select a thread to reply to.

Assigning a scheduler

Before you can schedule interviews, the request needs a scheduler and calendar.

If no scheduler is assigned, the Assign button appears instead of Schedule. Click Assign and fill in:

  • Scheduler (required) — search and select a user

  • Event Calendar (required) — calendar used for interview events

  • Use Separate Calendar for Candidate Events — optional checkbox

  • Candidate Event Calendar — appears when the separate-calendar option is checked

Click Assign to save. The button changes to Schedule once a scheduler is assigned.

Opening the schedule page

Click Schedule on the Request Details panel to open the scheduling workspace.

You can also schedule a single interview from the Interviews tab by clicking Schedule or the calendar icon on an interview card (Schedule Interview or Reschedule Interview).

What you will see on the schedule page

The schedule page shows the candidate's name and email at the top, along with a timezone selector. Toolbar icons include:

  • View Availability — review or edit candidate availability

  • Edit calendar invites — when shared calendar invites are enabled

  • Edit Round Settings — open request settings for this round

Use the calendar view and suggested time slots to select interview times, configure interview details, and confirm the schedule.

Send Candidate Invitation

After interviews are booked or confirming, you may see a Send Candidate Invitation button if the candidate has not yet received a calendar invite. Click it to send the candidate their calendar invitation.
