Insights: Ask, Metrics + Reports

Overview
The Insights tab in candidate.fyi helps recruiting coordinators and team leads understand how candidates, interviewers, and schedulers are performing. You can review pre-built reports, ask questions in plain language, and save custom metrics.
To open Insights, click Insights in the main left sidebar. What you see depends on your organization’s settings and your role:
Most scheduling reports (Interviews, Reschedules, Declines, Capacity, Pipeline, Drill Down, and others) appear under a Reports section in the Insights sidebar.
Ask and Metrics appear at the top of the Insights sidebar when your organization has that feature enabled. These are available to Admin and Editor roles only.
Coordination is also limited to Admin and Editor roles.
Some reports (such as Training Progress) only appear when your organization has that report turned on.
When you first land in Insights, you may see Engagement or Ask, depending on your organization’s setup.
Common controls across reports
Most reports share the same basic tools:
From... and To... date filters at the top of the page to choose a time range.
A Search box to filter table results.
Page controls at the bottom (Previous, page numbers, Next).
A download button (tooltip: Download as CSV) to export the current table.
Many reports let you click a row (such as an interviewer name or job title) to open Drill Down with filters already applied.
Engagement
Path: Insights → Engagement
Page title: Engagement Insights
This report shows how candidates are using the candidate.fyi portal.
What you’ll see
Total activated candidates and Activated candidates today summary cards.
An Engagement section with Total sessions, Average session duration, and Current activation rate (the percentage of currently eligible candidates who have logged into candidate.fyi).
A chart titled Candidate activations.
Two job tables: Most Active Jobs and Least Active Jobs, each showing Job title and Current activation rate.
How to use it
Review activation rates to spot jobs where candidates may not be engaging with the portal. Hover over metrics for additional context. This report does not include a CSV download.
Pulses
Path: Insights → Pulses
Page title: Pulses Insights
This report tracks candidate pulse survey performance.
What you’ll see
If your organization uses Hiring Manager pulses, you’ll see two tabs at the top: Candidate and Hiring Manager.
On the Candidate tab:
Summary cards: Total pulses submitted, Average pulse score, and Completion rate.
A Submitted pulses chart.
Ranking tables: Highest Jobs, Lowest Rated Jobs, Highest Rated Stages, and Lowest Stages.
A View Details link that opens the Pulse Details page.
How to use it
Use date filters to focus on a specific period. Click View Details to see individual pulse responses. On the details page (Pulses Insights Details), you can filter by job and recruiter, view Job Pulse Scores and Stages Pulse Scores tables, and download results.
On the Pulse Details section of the main Pulses page, use Search, All Jobs, and All Recruiters filters, or click Clear all to reset filters.
Interviews
Path: Insights → Reports → Interviews
Page title: Interview Insights
This report shows completed interview volume and breakdowns.
What you’ll see
Summary cards: Average interviews per week and Total interviews completed.
A Completed interviews week over week chart.
Tabs with ranked tables: Interviewers, Interviews, Rounds, Jobs, and Departments.
How to use it
Set your date range, switch between tabs to see who or what is most active, search within a tab, and click any row to open Drill Down with related filters applied. Use Download as CSV to export the active tab.
Coordination
Path: Insights → Reports → Coordination
Page title: Scheduling Coordination Insights
Available to Admin and Editor roles only.
This report measures how quickly scheduling requests move through your process and how individual schedulers are performing.
What you’ll see
Summary cards: Average Time to First Interview and Total interviews scheduled.
A Created scheduling requests week over week chart.
A scheduling breakdown card with three tabs:
Overall Breakdown — per-scheduler counts for Requests, Interviews, Rescheduled, Avg Time to Schedule, and Avg Time to Interview.
Availability Funnel — timing from request through outreach, availability, invite sent, and first interview.
Self-Scheduling Funnel — timing for self-schedule outreach through first interview.
How to use it
Hover over column headers for tooltips explaining each metric. Search for a specific scheduler, switch tabs to compare funnel stages, and download the active breakdown tab as CSV.
Reschedules
Path: Insights → Reports → Reschedules
Page title: Rescheduling Insights
This report tracks how often interviews are rescheduled and why.
What you’ll see
Summary cards: Reschedule rate and Total interviews rescheduled (hover to see a breakdown of candidate vs. staff reschedules).
A Rescheduled interviews week over week chart.
Tabs: Interviews, Jobs, Departments, and Change Reasons.
How to use it
Review the Change Reasons tab to see which reasons drive the most reschedules. Click any row to open Drill Down filtered to rescheduled events. Export any tab with Download as CSV.
Declines
Path: Insights → Reports → Declines
Page title: Interview Declines Insights
This report shows how often interviewers decline interview requests.
What you’ll see
Summary cards: Decline rate and Total interviews declined.
Tabs: Interviewers and Interviews, showing decline rates and total declines.
How to use it
Identify interviewers or interview types with high decline rates. Hover over a decline rate to see total requested interviews. Click a row to investigate in Drill Down, or export with Download as CSV.
Capacity
Path: Insights → Reports → Capacity
Page title: Interview Capacity Insights
This report shows interviewer utilization compared to their configured capacity.
What you’ll see
Two tabs: By Tag and By Interviewer.
Weekly utilization percentages displayed by date columns.
Color coding: utilization above 80% appears in red; above 70% appears in orange.
How to use it
Scan for overloaded interviewers or tags. Hover over a percentage to see Total Interviews and Interviewer Capacity. Click a tag or interviewer name to open Drill Down. Export with Download as CSV.
Training Progress
Path: Insights → Reports → Training Progress
Page title: Training Progress Insights
This report only appears when your organization has Training Progress reporting enabled.
This report tracks graduation rates across training paths over time.
What you’ll see
A Training Progress table grouped by Training Path, with weekly date columns and a Graduated row for each path.
How to use it
Filter by date range, search for a specific training path, and download results with Download as CSV.
Pipeline
Path: Insights → Reports → Pipeline
Page title: Scheduling Pipeline Insights
This report shows where candidates sit in the scheduling pipeline by interview round.
What you’ll see
Filters for Department and Job.
A Scheduling Pipeline table with columns grouped under Pending Scheduling (Awaiting Team, Awaiting Candidate, Total), Scheduled, and Completed (Awaiting Progression, Progressed, Rejected, Total).
Each row represents a Round, with an overall Total column on the right.
How to use it
Filter by department or job to focus on a specific hiring area. Search for a round name, review where candidates are waiting, and export with Download as CSV.
Drill Down
Path: Insights → Reports → Drill Down
Page title: Scheduling Events Insights
Drill Down is a searchable log of individual scheduling events. Use it to investigate specific interviews, candidates, or activity types in detail.
What you’ll see
A Search bar at the top.
An Advanced Filters sidebar with options including Interview Date, Event Activity Date, Scheduler, Interviewer, Event Activity (Scheduled, Decline, Rescheduled, Cancelled), Change Reason, Round, Interview, Department, Job, Tag, Application Stage, and Application Rejected.
A results table with columns: Candidate / Interview, Round / Job, Application Stage, Scheduler, Interviewers, Interview Date, and Action (showing when the event occurred and why, such as a reschedule reason).
How to use it
Apply filters to narrow results, or click through from other reports to arrive with filters pre-set. Click a candidate or interview name to open the scheduling request in a new tab. Use Download as CSV to export. If your export has more than 1,000 records, candidate.fyi will email the file to you instead of downloading immediately.
Ask
Path: Insights → Ask
Available when your organization has this feature enabled. Admin and Editor roles only.
Ask lets you type questions about your operations data in plain language and get answers without building a report manually.
What you’ll see
A heading: What would you like to know?
Subtext: We can help you find information about your operations
A text box with placeholder Ask fyi anything about your operations
A mode dropdown with two options:
Ask — answer questions about your data
Build — create and edit a metric (placeholder: Ask fyi to build a metric)
How to use it
Type your question and press Send (or Enter). Follow up in the conversation to refine your answer. Click New chat in the header to start over. Switch to Build mode if you want to create a saved metric — submitting in Build mode takes you to the Create Metric page.
If you are not signed in, you will see Sign in to use Ask.
Metrics
Path: Insights → Metrics
Available when your organization has this feature enabled. Admin and Editor roles only.
Metrics is where you view, create, and manage saved custom metrics built with Ask or the metric editor.
What you’ll see

Metric cards showing the metric name, description, and creator. A globe icon indicates a published metric.
How to use it
Click a metric card to open it. From a metric’s menu (⋮), you can Copy any metric. If you own the metric, you can also Publish, Unpublish, or Delete it.
To create a new metric, click New or use Ask in Build mode. On the Create Metric page, give your metric a title and description, then save. On an existing metric, use Refresh Metric, Download Table, or Edit Manually as needed.
Tip: Starting from a question vs. a pre-built report
Pre-built reports (Engagement through Drill Down) are best when you know what you want to measure and want consistent, repeatable views. Ask is best for one-off questions. Metrics is best when you want to save a custom view and revisit it regularly.
